Archive is only available for administrators.

Login using your standard username and password.

Step 1. Take a download of your current assessment
Before archiving we recommend that you download a full copy of your self-assessment and upload this into your Store.  This will ensure you have the text to hand if you wish to cut and paste some of your previous judgements into the new framework.  

Please note: this is likely not going to be a clear like for like, therefore we advise that you carefully consider the requirements of the new framework you are working towards.

Click on your Admin tab and select Manage Archives.

Step 2 - Carry out your archive
Select Archive Evaluate

Tick the box to confirm, then OK.  If you decide not to archive just click on cancel.

Step 3. - Once you have archived the framework, there are some steps you need to take, to get yourself back up and running.

Step 3.1 Manage Grades
Click on 'manage grades' to set your new grade profile for your new framework. Please note - Your archived framework will always retain the grade profile which existed at the time of archiving. 

Delete the grades you don't need (If you would like to talk to us about the best approach to take please send us a message via chat). If you delete one by mistake, don't worry, just click on the green '+' icon to help you add it back in.  Use the up and down green arrows to help you sort them in the order you want to see them on the grade bar. 

Also - don't forget to add your colours.  You have a 5 colour pallet to choose from.  

For example; my preferred style is for a simple MET, PARTLY MET, NOT MET approach with a RED, AMBER, GREEN grade bar but you choose or add your own to suit the framework you are working with. If using standard 1-4 grades consider removing the extension question which is the outstanding criteria from the handbook.  Again, If you would like to talk to us about the best approach to take please send us a message via chat.

Step 3.2 Preferences

Click on preferences and consider the flexible options to bespoke the system to suit your organisation. Use the help icon to guide your decision. 

3.2.1 General - Click to enable and disable your email reminders or change the reminder schedule to look ahead 7, 14, or 30 days.

3.2.2 Evaluate - Click on preferences the Evaluate tab
Use the help icon to guide your decision.  

Users who use the Evaluate RAG report shown below will often disable the statement feature.  This is the first of the 3 tabs seen in Evaluate.

For a traditional report keep this enabled.

3.2.3 Improve - Click  to change the titles in your improvement plan

3.2.4 SWOT - This is a page in Evaluate which can be tailored to suit your needs.  See below some suggestions. Users often change the title to Key Findings.

3.2.5 Enquire - Click  to change your quality review year.
3.2.6 Security - We advise that you maintain strong password protocol so ensure the is ticked.

Step 4 Summary boxes

If you do not want to see the summary boxes you can hide these.

Just click on the Admin tab, Manage Key Questions and ensure the summary box is not ticked for all Aspects.

The remaining settings and permissions in the system will remain unchanged

You can access your previous archives by clicking into the manage archives and selecting the archive you want to revert to from the archive history list.
